Studioware calculates 3 balances for every account:
- Total Balance: The Total Balance is the sum of all transactions. This total includes all past, present, and future transactions.
- Current Balance: The Current Balance is the sum of all transactions that have occurred on or before today's date.
- MTD Balance: The Month-To-Date Balance is the sum of all transactions that have occurred on or before the end of the current month.
Studioware allows you to decided which balance you want to display on the student grid within Studioware, and the balance that is displayed on the "Account Overview" on the business portal. The balance you decide to display on the "Account Overview" page on the business portal will be exposed to students/parents when they access the business portal.
Student Grid Balance:
By default, the student grid within Studioware displays the account "Total Balance":
If you wish to change the balance that is displayed on the above student grid, follow these steps:
- Click on Administration
- Click on Global Setting
- Search for the setting "Grid Balance Display". If the setting does not exist, that means Studioware is displaying the Total Balance. You can add the "Grid Balance Display" if it's missing and you want to display a balance other than the Total Balance. If adding the setting, please set the description to:
- Set the value to Total, Current, or MTD

Accounts Overview Balance:
By default, the "Account Overview" page on the Business Portal will display the Total Balance:

If you wish to change the balance that is displayed on the Account Overview page on the Parent Portal, follow these steps:
- Click on Administration

- Search for the setting "Business Portal Balance Display". If the setting does not exist, that means Studioware is displaying the Total Balance. Balance Examples:
When you open a student record and click on the "Summary" tab, you will see the 3 financial account balances that Studioware has calculated: Current Balance, MTD (Month-To-Date) Balance, and Total Balance
The balances are calculated from the student's financial account:
Assume that today is November 1, 2017. Here's how the balances are calculated on November 1:
- The Current Balance is the sum of all transactions up to and including the current date. In this example, it is the sum of all balances up to and including November 1st, 2017. In the student's account above, you see there is a Tuition transaction for $100 on November 1st, and it brought the balance to $584.50 (see the red rectangle above). Since we are assume that today is November 1st, this is the student's current balance.
- The MTD Balance (Month-To-Date Balance) is the sum of all transactions up to and including the last day of the current month. Since we are assuming that today is November 1st, the last date of November is the 30th. Therefore, the MTD Balance on the above student's account would include all transactions up to and including November 30th. The student's MTD balance in the above example (assuming today is Nov. 1) is $606.45 (see the green rectangle above).
- The Total Balance is the sum of all transactions. This include past, present, and future transaction. The above student's total balance is $771.45 (see the blue rectangle). Total Balance is the default balance the is display on the student grid and business portal.
Some businesses do not want to overwhelm their student/parents with a large Total Balance. Therefore they can elect to show the current or month-to-date balance. You could show the total balance within the Studioware website to your staff/users, but show the current balance on the Business Portal
Studioware invoices are not affected by the balances you elect to show on the student grid or parent portal. Studioware invoices are a reflection of the student's financial account, for the date range you specify when you create the invoice.
